Your data is the reason you have not moved yet

Everyone selling software tells you everything comes across. Nothing comes across everywhere, and an open-ended promise is how a migration turns into three weeks. So here is the short list we move, the list we do not, and who does which half.

You export. We import. That is the whole division of labour, and the half that is yours takes an afternoon at most.

What we move

Seven things, and they are the seven that cost real money to retype.

  • Customers·Name, phone, email, address, and the notes on the file.
  • Pets·Name, breed, date of birth or age, sex, weight, notes, and which pet belongs to which owner.
  • Staff·Names and basic contact details.
  • Services·Name, how long it runs, what it costs.
  • Upcoming appointments·Everything still to come. Nobody loses a booking they have already made.
  • Past appointments·Three years of visits: the date, the service, and who did it. What she paid three years ago is not something a booking system exports reliably, so it is not promised here.
  • Notes·Plain text, on the client and on the pet, carried across as written.

The notes are the part you cannot retype

A price list you can rebuild in an hour. A phone number is on a booking confirmation somewhere. What is gone for good is the line that says she mats behind the ears, he goes short in November, and the nails need a muzzle and two people.

That is years of knowing your clients, and it is the reason this page exists. It comes across as written, on the client and on the pet.

The balances come too

This is the half of the money that does move, and it moves because it is not a record of what happened. It is what you still owe somebody.

  • Gift card balances·The card, what is left on it, and when it expires. Somebody paid you for that already.
  • Loyalty points and tier·Two years of stamps do not reset because you changed software.
  • Deposits already paid on a future booking·The booking comes across carrying what they have already handed over, so nobody gets asked for it twice on the day.

The deposit is the one that costs you a client if it is missed. She paid fifty dollars in March for an appointment in September, the booking arrives here without it, and on the day somebody at your counter asks her for it again.

So the one question worth answering before anything moves is whether anybody has paid you in advance: a deposit, a gift card, points on a card. If the answer is no, the whole move is a record and there is no money in it at all.

What we do not move

The list nobody publishes. None of this comes across, and saying so now is cheaper for both of us than finding out in week two.

  • Custom fields your old software invented·Fields built for one platform have nowhere to land in another.
  • Invoices, payments and transaction ledgers·Every system stores money differently, and a ledger copied between two of them is the same revenue counted twice. Your financial record stays in your accounting software, where your BAS comes out of.
  • Marketing history, audit logs and deleted records·None of it changes what happens on Monday.
  • Internal IDs from the old system·They mean nothing here, and matching on them is how records land on the wrong dog.
  • Memberships, prepaid packages and store credit·Not because they do not matter. Seglo has no place to keep a ten-groom package with four left on it. If you sell those, say so before you move and we will tell you honestly where that leaves you.
  • Photos and attachments·They stay where they were taken.
  • Anything Seglo has no place to keep·If there is nowhere to put it, importing it does not save it. It hides it.

Keep read access to your old system for a month or two after you move. The invoice from March and the photo from last winter are still there if anybody asks, and almost nobody opens it after the second week.

Who does which half

Getting the file out is yours, because it is your account and your login. Export your clients, your pets, your services and your bookings from the system you are on now. If you cannot find the export button, ask us and we will tell you where it is on your platform.

The file goes into your own Seglo account rather than to us over email, because a list of your clients and their phone numbers should sit somewhere that belongs to you. Everything after that is ours: reading it, matching it to the way Seglo holds an owner and a pet, cleaning up the duplicates and the half-filled rows, and checking the result against your old system before you open on it. There is no charge for any of it.

How long it takes

One to two days from the moment your export reaches us, and most finish inside twenty-four hours.

The clock starts at the file, not at the enquiry. Which is why the export is the one thing worth doing today.

If your shop is not on the list

Every salon has one thing that does not fit: a membership scheme built by hand, three years of records you are not ready to let go of, a second location sitting on different software. Tell us what it is before you move and we will tell you honestly whether we can carry it.

Already on Square? That one imports itself, and both systems run side by side until you say go.

How the move starts

Open the account first. It is free for fourteen days and takes no card, and it is what turns the export into something we can read: your locations, your services and your team are what every row gets matched against.

The import lives inside that account, under Settings. Your client list never travels through an email thread or a public form, and it never sits with us belonging to nobody. Then it is ours: we read it, clean it, and check it against your old system before you open.
