How should a dog grooming cancellation policy work?

The strongest cancellation policy is rarely the harshest. It's the one a client saw before booking and the team can apply without inventing a new rule during an upset phone call.

Define the bands in ordinary language

Separate the events that create different costs:

Event Example consequence
Enough notice to refill Move or cancel without a fee
Late cancellation Deposit retained or a defined fee
No-show Stronger consequence before rebooking
Grooming business cancels Prompt refund or transfer chosen by client

Set the notice period from how your bookings are actually refilled. “Late” needs a clock, and “fee may apply” needs a rule.

Connect the consequence to reserved work

A four-hour transformation groom and a 20-minute nail visit don't expose the business to the same loss. Use a deposit, fixed fee or capped portion of the booked service that you can explain in relation to the slot held and the chance to refill it.

The ACCC's contract guidance notes that consumer contract terms must be fair and transparent. Calling an amount a penalty or writing “under all circumstances” doesn't make it automatically enforceable. Have the finished policy checked for your business, and keep the consequence proportionate rather than punitive.

Be consistent without becoming wooden

Name who can make an exception for emergencies, illness or business error. Keep a short log with the booking, consequence, exception and reason. That lets you be compassionate without making the written policy depend on who answered the phone.

Two scripts are enough:

Your appointment is inside our ___ notice period. Under the terms accepted at booking, ___ applies. I can help you choose the next available time.

I've waived/transferred this one because ___. The usual policy will apply to the next booking, and I'll send it with the confirmation.

Put the rule before the problem

Show the policy before confirmation, record acceptance and repeat the relevant part in the reminder. Sending it for the first time after a no-show turns a shop rule into new information at the moment you want money.

Review late cancellations, no-shows, filled gaps and exceptions every quarter. If incorrect reminders or unclear appointment details caused the misses, a larger fee is aimed at the wrong problem.
