How should you fill a last-minute grooming cancellation?

A cancelled slot belongs to a particular groomer, part of the day and set of resources. The replacement has to fit all three.
Keep a useful waitlist
Record the service, dog, acceptable days, notice needed and any handling or resource requirements. “Call if anything opens” is too vague when the team has minutes to decide.
Ask whether the client wants the first offer or only a confirmed booking. An invitation should not create several appointments for one space.
Offer in a controlled order
Filter for fit, then contact a small group with a clear expiry. Tell them the exact time and what reply secures it. When it is taken, close the offer so nobody travels in expecting the same slot.
Start with the dogs that match the released groomer, duration, equipment and pickup window. Contact two or three suitable clients at once. A 30-minute reply window can work for a same-day opening; choose a period the team can actually monitor.
We have an opening today at 1:30 pm for [service]. Reply YES by 11:30 am if you'd like it. The first confirmed reply gets the appointment, and we'll let everyone know once it's filled.
Send a closing message to everyone else as soon as the slot is taken. The business confirmation is what turns an offer into a booking.
Avoid dropping the price automatically. A client who already wanted that time may value access more than a discount.
Learn from repeated gaps
Track which services and times cancel late. The pattern may point to reminder timing, deposits, booking lead time or a client-specific problem worth addressing upstream.
Record who was offered, how quickly they replied, why a suitable client declined and whether the replacement ran as planned. Fit data makes a waitlist useful; length alone says very little.
