What should you say when the coat changes the grooming plan?

When the booked finish is no longer realistic, the owner needs a decision before they need reassurance. Clear choices protect trust better than a long defence of the groomer’s judgement.

Describe what you found

Use neutral, observable language: where the coat is tight, what the dog can tolerate, or which stage will take more work. Avoid blame. The condition in front of you is enough to explain the change.

Say what remains possible and what you recommend. If useful, show the owner at arrival or send a focused photo during the groom.

Explain each consequence

For every option, cover the likely finish, comfort, time and price. Ask for explicit approval where the agreed service or total changes materially.

Do not keep working past the decision point merely because stopping the day is awkward. The client can only choose while the alternatives still exist.

We've found [neutral condition]. Option A is [finish], takes about [time] and costs [total/range]. Option B is [other safe finish or stop/rebook], with [time and price]. Reply A or B before [time]. If we don't hear from you, we'll [pre-agreed safe boundary].

An emoji, “okay” to an unclear paragraph or an unanswered call shouldn't carry a material service change. Record the exact options, response, person and time.

Close with the next plan

At pickup, explain the result without reopening the whole disagreement. Record what was approved and recommend an interval or home-care step that could make the preferred finish possible next time.
