What should you text a grooming client, and when?

A useful grooming text changes what the client knows or helps them take one action. Sending more messages does not create better communication if each one makes them search for the point.

Give each message one job

A confirmation says what was booked. A reminder helps the client arrive prepared. An update explains a changed plan. A ready message tells them when and how to collect. A follow-up checks the dog or offers the next visit.

Include the dog’s name, the relevant time and the action required. Keep policy language to the part that matters at that moment.

Send it when it can still help

A reminder needs enough lead time for the client to respond. A delay update belongs before the expected pickup. A coat or price change needs approval before the extra work.

Choose which messages are automatic and which require judgement. Automation is useful for stable facts; a sensitive handling issue deserves a person.

Make replies land somewhere owned

Decide who watches incoming messages during grooming hours and what requires escalation. A text channel that nobody checks creates the appearance of availability without the service.

Keep the conversation with the client record so the next team member can see what was promised.

Keep five templates ready:

  • Confirmation: “[Dog] is booked for [service] on [date/time]. Reply if these details are wrong.”
  • Reminder: “[Dog]'s appointment is [time]. Please reply by [deadline] if you need to change it.”
  • Plan change: state two safe options with finish, time and price.
  • Ready: “[Dog] is ready. Please collect by [time]. Amount remaining: $__.”
  • Return follow-up: name the recommended window and a simple reply action.

Keep transactional messages free of promotions. If a message promotes another service, the ACMA requires consent, sender identification and an unsubscribe route. Automation can send stable facts. A person owns changed care, complaints and anything needing judgement.
