Client profiles

Keep each pet’s details and grooming notes together. Open their Pet Card, read the staff note, and manage their profile from the client directory.

Check a pet’s trim preferences and handling notes before you start the groom. Each pet has its own profile under the pet parent’s account, so dogs from the same household keep their own details.

Read a pet’s grooming notes

  1. Open Clients → Directory and select the pet parent.
  2. Select the pet to open their Pet Card.
  3. Open the three-dot More Pet Card actions menu, then select View grooming record.
  4. Read Staff note for the pet’s saved trim preferences and handling instructions.

For example, Hugo’s note asks for a soft teddy trim, natural ears and a fluffy tail, with gentle handling around his paws. These are fictional details used in the demo. Your pet’s record shows the notes your team has saved.

If Staff note is missing, the pet has no saved staff note yet. Choose Edit Pet Card to add one.

One booking can include several profiles at once.

Get profiles switched on first

Customers are only asked who they're booking for once you have an active Profile form. Until then, no profile step appears anywhere. Build one under Clients → Forms — for example a "Pet Profile" form set to the Pet type — and switch it on. Only one Profile form can be active at a time, so the active form's type (Pet, Vehicle, Child, and so on) decides what every new profile is. See Forms for the full build.

Book a recipient on a booking

You take a booking from Schedule, pick the client, and the "Who's this booking for?" picker opens on its own — once per client — so the next step is immediate.

  1. Pick the client.
  2. In the picker, tap an existing profile, or tap New profile to create one on the spot.
  3. The recipient drops in as its own card. Add that recipient's services in the card.
  4. Tap Add another to bring in a second profile; remove one with the × on its card.

There is no separate "main client" step — everyone is added the same way. All the chosen profiles share one booking and one arrival window, so two dogs or two children become a single booking with two recipients stacked on screen, each visible at once.

Add a new profile without leaving the booking

When the client doesn't have the recipient yet, New profile fills your Profile form right there and creates a real, saved profile — not a throwaway.

The name comes from whichever field your form designates as the name (for example "Pet name"), so there's no separate Name box to fill. If your form designates no name field, a plain Name box appears as a fallback. Fill the rest of the form, save, and the profile is added to the client's account and appears as a card ready for its services — and it's already waiting next time they book.

Manage a client's profiles from their card

Open Clients → Directory and select a pet parent to see their pets. Select a pet to read its Pet Card, or use the three-dot menu beside the pet for Edit and Archive.

The client's own Self profile is hidden from this list and can't be edited or archived — it's managed as the customer record itself.

Edit a profile

Edit opens the profile's own intake form, pre-filled with its current answers, plus two fields that live outside the form:

  • Name — the display name for this pet, vehicle, or family member.
  • Standing note — a free-text note your staff writes once and pins to the pet permanently. Use it for anything that matters on every visit: safety flags, handling requirements, owner preferences, anything too important to leave only in per-booking appointment notes. The standing note shows pinned on the calendar's Activity tab and when you open the pet's card.

Every other question the Profile form asked — breed, weight, vaccination status, and so on — is editable right here too. Save, and the new answer is live immediately: it shows on the client card, on the calendar's Activity tab, and prefills the next time this profile books a factor-priced service. Re-sending the customer the Profile form (see Forms) is still the way to capture the customer's own fresh answers, but a staff correction made here takes effect straight away — no re-submission needed.

Pricing-factor answers appear here too

If any of your services use factor-based pricing (weight tiers, coat condition, and so on), the answer a customer gives at booking time is saved onto the profile the same way a Profile form answer is — there's no separate "Traits" list to check. Wherever this profile's details are shown (the client card, the calendar's Activity tab, kiosk), the pricing-factor answer sits alongside the Profile form's own answers in one combined list. If a customer answers the same question at booking that your Profile form also asks (for example, both ask for weight), the booking-time answer is the one shown.

Archive a profile instead of deleting it

Profiles are never hard-deleted. Archive retires a profile — it stops appearing in the booking picker but keeps all its booking history intact. Use it for a pet that's passed, a vehicle that's been sold, or a duplicate you want out of the way.

Archived profiles are hidden by default. A Show N archived toggle at the bottom of the list reveals them, and each archived row offers Restore to bring it back into circulation. This is why a profile never truly disappears — and why "delete" isn't an option.

Capture structured details, not just free text

A Profile form's questions become the profile's fields, and the kind of question matters. Library questions — breed, weight, vaccination status, vehicle make — are recognised across Seglo, so their values stay structured and roll up cleanly into the profile and into reports. Custom questions are stored as plain text and don't roll up.

Tips

  • No profile step at booking = no active Profile form. Switch one on under Clients → Forms.
  • A pet showing two profiles usually means one was made by the customer and one by staff. Keep the fuller record and archive the duplicate — its history stays attached.
  • Edit updates the whole intake form, not just name and note. Change any answer here — including a pricing-factor question like weight or coat condition — and it's reflected everywhere immediately.
  • Archived, not deleted. Can't find a profile you retired? It's under Show N archived — Restore it from there.
  • Drop-off businesses never see the customer's own Self profile in the recipient picker — it's filtered out, since the thing being serviced is the pet or vehicle, not the person.
  • Forms — build the Profile form that captures profile data.
  • Form responses — the raw submissions behind each profile.
  • Client directory — the customer accounts profiles belong to, and where you manage them.
  • Factor-based pricing — where pricing-factor answers that also appear on the profile come from, and the "Kept across visits?" setting.
