AI notes

Seglo reads every note after each visit and pins a short AI summary — safety flags first — inside the customer's next appointment.

The note you left on a visit three months ago — "offer her 50% off next time", "muzzle required" — is only useful if it resurfaces when the customer is back in front of you. After every completed appointment, Seglo reads what was written and keeps a short running memory per customer, then shows it inside their next appointment so nobody has to go digging.

See what Seglo remembers about a customer

Open any appointment on the Schedule and look under Customer notes in the details panel. When the customer has history, an AI notes block appears with up to three things:

  • Safety flags, highlighted in colour — allergies, handling requirements, behaviour warnings. These sit first so they're impossible to miss.
  • A short summary of recent visits — one or two sentences on how things have been going.
  • Standing preferences — the durable likes, dislikes, and promises ("prefers Saturday mornings", "offered a discount on the next visit") in one compact line.

If the customer has no completed visits yet, the block simply isn't there. Nothing to configure — it builds itself.

Get a note to carry forward to the next visit

Write it anywhere you'd naturally write it. The memory is rebuilt from everything on record each time an appointment completes:

  • Team notes on the appointment — the staff-only thread.
  • The customer's own booking note — what they typed when booking.
  • The standing note on the customer — the permanent note on their record.
  • For pets and other profiles: the standing profile note and saved profile details (breed, allergies, and so on).

Two things follow from "on completion". A note on a booking that was cancelled or never happened doesn't enter the memory — only real visits count. And a note you add moments before checkout still makes it in, because the summary is built after the visit finishes, not when it's booked.

Make a warning permanent

Safety facts are never forgotten: once something lands in the safety flags — a bite, an allergy, a handling requirement — it is carried forward on every future summary, no matter how many visits pass. For a warning you want preserved word-for-word, write it in the pet's standing note (Clients → Directory → Edit profile): standing notes are treated as authoritative and are never paraphrased away.

Keep pet facts and owner facts separate

For businesses that book profiles (pets, vehicles), the memory runs at two levels: the pet carries its own safety flags and condition notes, and the owner carries the relationship — preferences, promises, how recent visits went. The appointment's AI notes show both together, pet facts first.

Tips

  • The AI notes are a summary, not the record. Your original notes are untouched and stay exactly where you wrote them — the block above them is a digest.
  • Promises work well as team notes. "Offer 50% off next time" written on today's appointment will appear under the customer's next booking once today's visit completes. It won't apply the discount for you — it reminds the person at the desk.
  • You can ask the assistant about the same memory. Questions like "which dogs have a latex allergy" search this memory too — see Ask the AI agent about your notes.
