Export your data from Vagaro

Your Vagaro customer list comes out in four clicks. Appointments take longer, because they come out one status at a time.

Updated 26 August 2026

Vagaro splits this into two very different jobs. Your customer list comes out in four clicks. Your appointments take patience, because Vagaro hands them over one status at a time.

Only the account owner can export the customer list. A staff login won't see the button, so sign in as the owner before you start.

Export your customer list

  1. Open Reports from the top menu.
  2. Under Customers, click Customers.
  3. Click Run Report.
  4. Click Export at the bottom, and choose Excel.

Choose Excel, not PDF. A PDF is a picture of your client list, and there's no reliable way to get data back out of a picture.

Export your appointments

  1. Open Reports, then Appointments Summary on the left.
  2. Set Appointment From-To to cover everything: back as far as your records run, and forward past your last booked appointment.
  3. Leave the filters on All Employees and All Customers.
  4. Open Advanced Filters and, under Appointment Status, switch on all ten: Requested, Accepted, Awaiting Confirmation, Confirmed, Cancelled, Show, No Show, Ready to Start, In Progress, and Service Completed.
  5. Click Run Report, then switch to Grid View.
  6. Each status with a blue link is its own list. Click the link, then the download icon top right, and save it as Excel.

That is one file per status, and it feels like it. Send us all of them.

If that's more clicking than you can face, Vagaro's support team will produce a CSV of your upcoming appointments if you email them and ask. It covers what is booked ahead of you but none of your history, so the shortcut has a cost.

Client notes

Notes come out one customer at a time: Customers at the top, pick the person, then the Notes tab. Workable for a handful of dogs whose coat notes you can't lose, unworkable for a whole book. Tell us early if notes matter to you, so we can plan around it rather than discover it late.

What you won't get

Saved card details, same as every platform. Your customers save a card again on their first payment through Seglo.

Send it to us

Email everything to support@seglo.ai from your Seglo account address, and leave the files exactly as Vagaro produced them. Do it while your Vagaro subscription is still active.

Vagaro's own Export Your Customer List article is the authority if a menu has moved.
