Switching to Seglo

The timeline for moving over: when to give us your go-live date, what happens on the night, and when the old booking page finally goes dark.

Moving over is one evening, not a project. You stop booking in one place, you start booking in another, and not one customer has to rebook. Your data is across before that evening arrives, so the switch itself is a short list of things to turn off.

Most of that list is about what not to touch.

First, give us your go-live date

Nothing gets scheduled until we have one thing from you: the date and time you want to be live on Seglo. Email support@seglo.ai with both and we plan the final migration around them.

Pick a slot after you close, or on your quietest day. A grooming day has no quiet hour in the middle of it, so you want the changeover sitting between two working days rather than inside one.

Until then, keep working exactly as you are

Book, reschedule, cancel, add a note. Carry on in your old system right up to the agreed time. We pick all of it up in the final migration, so there is never a stretch where you are keeping things on paper.

Use the waiting time to look around Seglo instead. Open your calendar, your services and your team, and check three things: service durations and prices, who is rostered on which days, and whether your upcoming appointments landed on the right people. All three are far easier to fix now than at 7am on your first live morning.

The night you switch

The checklist is in Seglo, on Settings → Import Data, with the links into your Square settings built into each step. Work through it there and tick it off as you go.

Two of the five steps are worth understanding before you reach them.

Put your notice up first, then close the services. In that order it reads to a customer as a move. In the other order there is a stretch where it just reads as broken.

Close the services, not the page. Your old booking page is handed out in more places than you set up yourself: your Google listing, your social profiles, a button on your own website. Closing every service and service variation to online booking closes all of those at once, because there is nothing left to book anywhere. Hiding the page only closes one of them, and the rest keep quietly taking appointments into a calendar nobody is watching.

Leave the page itself up for now, with your notice and your Seglo link on it. Every link you have ever shared still points at it.

Your first live day

Seglo is the booking system now. New appointments, changes, cancellations, customer details, notes, reminders.

Reminders to your imported customers are the one thing that does not switch on by itself. We turn those on with you once you have looked over the list, so nobody who booked three months ago hears from a system they have never been told about. See Running Square and Seglo together.

Weeks later, switch the old booking off for good

This is the step people forget, so give it a date now.

Wait until two things are true: every link you control points at Seglo, and your regulars have been through a full round of appointments. Six to eight weeks covers most grooming books. By then anyone still holding the old link has already been redirected by it at least once, which is the whole reason it stayed up.

Then switch its online booking off completely. That is the booking, not the account.

Tips

  • Do not cancel your future appointments in the old system. They have already come across. Cancelling them there sends a cancellation message to a customer whose booking is perfectly fine, and you spend your first morning explaining something that never happened. Log out and leave them sitting there.
  • Two sets of reminders is the most common mistake. If a customer says they got two texts, the old platform's reminders are still switched on.
  • Only the customers who already have an appointment need telling. One fact: their booking still stands and there is nothing for them to do. Everyone else finds out next time they book, and notices nothing.
  • Check your Google Business Profile link on day one. It is the one that quietly keeps sending people to the old system, and the one bringing you the most new customers.
  • Do not close the old account to save the monthly fee. Old history gets much harder to reach once a subscription lapses.
  • Something looks missing after the final migration? Tell us before you re-enter it by hand. It is almost always one more sync away, and anything you retype becomes a duplicate when the original turns up.
