Data import
Connect Square and bring your clients, pets, services, team and appointment history across, held in a private preview until you activate it.
Updated 5 September 2026
Switching platforms without re-typing every client, service and past appointment by hand. This page reads your Square account, shows you everything it found, and holds the whole import in a private preview so nothing reaches your customers until you say go.
It only reads from Square. It never changes or deletes anything there, so you can run it while you are still taking bookings on the old system.
Who can use this: owner and admin roles only.
Open in app: Import Data

1. How the move works
Three stages, and the heavy one is the part you can hand to us.
- The data migration. Clients, pets, services, your team and appointment history come across from Square. Nothing reaches your customers while it happens. We usually run this for you; this page is that same tool if you would rather drive it yourself.
- You keep working in Square. Right up to go-live. Nothing to switch off early.
- You go live on Seglo. Five short steps on the evening you switch, on the checklist that appears here once you have activated.
Not on Square? Fresha and Vagaro show Coming soon and cannot be selected yet. For every other platform you export the files and we import them for you: see Bringing your data to Seglo.
2. Connect your Square account
Open Settings → Import Data, pick Square under Where are you moving from?, and click Connect. Square asks you to sign in and approve read-only access, then drops you back here. That is the whole of your part in this step.
From there the page walks itself through the stages in the step bar at the top and hands off from one to the next on its own. Every import sees Connect, Sync, Import and Activate. Locations and Staff appear only when they apply.
You do not have to babysit it. Close the tab and Seglo keeps working; come back and it reopens at the exact stage you left. If the sign-in never completed, Cancel & Start Over resets it. If your Square connection has expired, the sync panel says Couldn't reach Square and tells you to reconnect: pick Square and click Connect again to re-authorise, and the run carries on. One catch: an import you began during account setup has to be finished inside onboarding, and Seglo sends you back there rather than letting you start a second one.

3. Decide how your data comes in
Most owners see one or two of these. A step you do not need never appears.
More than one Square location? Which locations would you like to import? appears before any data is pulled. Check the ones you want and click Select locations to import. Anything imported on a previous run is greyed out and marked already imported. Services and customers are merchant-wide in Square, so they come across in full on your first run and are shared by every location after it.
Someone on your team did not match? Seglo matches Square team members by their Square ID, then by email and name, and tells you how many resolved on their own. If everyone matched, this step is skipped. When it appears, each row offers the same three choices: an existing Seglo staff member, + Add <name> as new staff, or Don't import their bookings. Only an unconfirmed guess blocks Continue, because accepting a wrong guess can mis-assign a real person's bookings while creating a new staff record cannot. Accept all N guesses confirms every suggestion at once, and each stays revisable. Anyone Seglo could not place at all is already set to become new staff, so nothing is left stranded.
The same customer already in Seglo? If any are found, the review screen shows a Duplicate customers row with how many match an existing Seglo client, and two choices: Merge folds the imported details into the existing client, Skip leaves your record exactly as it is. No duplicates, no row.
Custom fields are mapped into Seglo's client forms automatically during the sync. The Import screen summarises how many, with Edit in Form Settings next to it if the mapping guessed wrong. See Forms.

4. Check it in preview, then pick your go-live date
Start Import lands your appointments in preview: reminders stay off, customers cannot see their bookings, and your team's schedules do not show them yet. This is the safety window the whole flow is built around.
Work through Verify your data on the Review before you go live screen. Each row opens in a new tab, so you can spot-check appointments, clients, services, business profile, industry, and hours and location without losing your place. Confirm service durations and prices, opening hours, and that appointments landed on the right people.
Then click Activate Appointments and confirm. Future appointments go live on your calendar, customers can view and manage their bookings, and your team sees everything. Activation cannot be undone, so finish your checks first.
Activation does not message anyone. Reminders for your imported customers stay off until you take the location live: see Running Square and Seglo together.
Last, email support@seglo.ai with the date and time you want to be live. Everything after activation runs to that: the final catch-up migration, the five-step checklist that appears on this page, and the switch itself. Switching to Seglo is the timeline in full.
Tips
- Re-importing is safe. Every record carries a Square ID, so a second run updates existing rows instead of creating duplicates.
- Import one location at a time if you prefer. Bring your busiest one across, confirm it looks right, then come back for the rest.
- Set duplicate handling before the records exist. It is easiest to get right once, on the Import screen. Bookable staff is a separate decision that lives in Team settings, and you can revisit it any time.
- An import that fails is not yours to debug. You get a plain-language reason and a Reference ID. Send that to support@seglo.ai and start over.
