Running Square and Seglo together

After you activate: turning reminders on for imported customers, catching up new Square bookings, and stopping the Square sync when you are done.

Activating does not force an instant cutoff. Your imported appointments are live on your calendar, but Square keeps running alongside for as long as you need, and Seglo keeps mirroring it in the background.

Everything on this page lives on the Migration Complete screen you land on after activating, at Settings → Import Data. That screen also carries a receipt of what came in, including how many records merged into existing ones rather than being created fresh.

Turn on reminders for your imported customers

Activating a location does not message anyone Square already had booked in. Every imported location starts soft-launched: its appointments are on your calendar, but the customers on them booked with Square, not with you on Seglo, and they receive no reminders or review requests until you say so.

Take each shop live lists every location with its current state, either Reminders held until you go live or Reminders are sending. Press Go live next to one when you are ready to start messaging its customers. From that moment its upcoming appointments send reminders like any native booking. Visits that already happened while it was soft-launched are not messaged retroactively, so no review requests go out for past imported appointments.

One shop at a time is fine. Going live is per location and one-way, with no deadline forcing your hand. While a location is soft-launched it also carries a Soft launch badge next to its name on Business profile, and the badge disappears the moment you take it live.

Keeping up with bookings still made in Square

Customers do not stop booking in Square the moment you begin, and you do not have to do anything about it. New Square bookings keep flowing onto your Seglo calendar on their own.

The Square sync panel is a status, not a control panel. It shows two lines and, on a normal day, nothing to press:

  • Last Square update received: the last time Seglo actually got new data.
  • Last sync ran: the last time Seglo checked in, whether or not anything had changed.

A recent "last sync ran" with an old "last update received" is normal. It means nothing changed in Square. Once the sync itself has been quiet for a while, a Check now button appears with it, which pulls everything Square has. That is the one moment pressing something helps, so it is the only moment the button is there.

If a Seglo subscription lapses the sync stops, and the panel says Sync is off with the reason. Renew and it starts again, picking up whatever it missed.

If you have a Square location you have not imported yet, Import another location starts a new run scoped to it. Finish that run without activating and this screen shows a "One import is still waiting to go live" notice with its own Go live button, so a second import cannot get stranded behind the first one's screen.

What Square bookings can and cannot do in Seglo

Square bookings show a "Square" badge and are read-only. Anything a customer books in Square appears on your Seglo calendar and in the booking detail, badged. You can look at it, but you cannot edit, reschedule or cancel it from Seglo. Any change has to be made in Square itself.

That is deliberate. Square is still the source of truth for those bookings, and an edit made in Seglo would be silently overwritten the next time Square sent an update. Bookings you create natively in Seglo are never affected.

Payments, refunds and invoices do not sync. Only booking details come across: client, service, time, staff. Revenue reports, staff payroll and your Xero sync all exclude Square-origin bookings automatically, so they never appear as unpaid revenue or count toward commission. Square's financial data stays in Square for as long as you run both.

When you are ready to stop

Finish the move carries one button: I've finished moving — stop Square sync.

It stays disabled until every shop is live, and names the ones still waiting. That is deliberate: stopping the sync is business-wide while going live is per location, so a business moving its shops months apart cannot close Square off while one of them still depends on the mirror.

Press it, confirm, and Seglo stops checking Square for updates. Your existing appointments and history stay exactly as they are, the Square badge and read-only behaviour stay on the bookings already imported, and the panel settles to a single line saying when it stopped. This cannot be undone from here.

Stopping the sync is not the same as closing your Square account. Keep that open and readable for as long as you want the old history.
