Stop the schedule double-booking a room, a tool, or a shared pool — set up your physical spaces, define your positions, and tie services to them.

When two bookings land in the same treatment room or grab the same dryer at once, the problem isn't your staff roster — it's that the schedule doesn't know the room exists. This page is where you tell it. Once a service needs a room, a tool, or a spot in a shared pool, the schedule treats that thing as a hard limit and won't let a second booking take it at the same time. Until then, only staff availability decides what can be booked.

Open in app: Resources — also from the Resources card on the Settings page. Only the owner or an admin can open it; staff and customers are sent back to the Settings hub. Your team members themselves aren't added here — they live on the Team page — but the job titles they can hold (Positions) are defined on this page's Positions tab, and each person already counts as a resource that handles one booking at a time.

Add the rooms, tools, and pools you actually have

On the Resources tab, each kind sits in its own section because each is reserved differently. Click the matching add button:

  • Rooms (Add room) — held by one booking at a time. A consultation room, a bathing room, a treatment bay.
  • Equipment (Add equipment) — also one at a time. A chair, a machine, a high-velocity dryer.
  • Capacity Pools (Add pool) — shared by several bookings at once. A row of seats, stations, or drying bays where any free spot will do.

Adding is a two-step drawer: pick the type (more on that next), then give the resource a Name and click Add Resource. The capacity is filled in for you from the type — a room defaults to one, a pool to however many spots that pool's type carries. The examples you see under each section heading follow your business kind, so a pet-grooming business reads "bathing room, drying room" where a clinic reads "consultation room, treatment room".

Name a type the way you talk about your space

The Resource types tab is the catalogue of kinds — "Bathing room", "HV dryer" — that the actual resources belong to. Seglo ships built-in types (Staff, Room, Equipment) you can't rename or remove. The value here is your own: click New type, choose a Category (Room, Equipment, or Capacity Pool — Staff is never offered, it's managed for you), type a name, and click Create. Your types carry a Custom badge and are visible only to your business.

You don't have to come here first, though. Any type picker — when you add a resource, or when you set what a service needs — has a Create your own type option right in the list that selects the new type the instant you make it, so you never lose your place.

Define the job titles your team can hold (Positions tab)

The Positions tab is the catalog of jobs your people do — "Groomer", "Bath Assistant", "Manager". Whether a position is bookable is no longer its own switch; it comes entirely from an optional scheduling role you link the position to:

  • No scheduling role — a pure title with zero calendar effect (Manager, Receptionist, Owner). This is the safe default for a new position.
  • Groomer — the person needs a skill, gets a calendar column, and customers can book them.
  • Assistant — the person works behind the scenes. Never bookable, never shown to customers, but once rostered they free up time for your bookable staff automatically.

Click New position, name it, and pick the scheduling role. Rename a position any time from the pencil icon — the new name shows everywhere the position is referenced, including team-member search and sort. Change a position's scheduling-role link later and anyone already holding it picks it up the next time their own profile is saved, not instantly for everyone at once.

A position already held by one or more team members can't be deleted — reassign its holders on the Team page first, or Seglo tells you how many are still on it.

If a position shows a small warning marker, it's a job title carried over automatically from your previous setup that still needs a scheduling-role decision — open it and pick Groomer, Assistant, or No scheduling role to clear the flag. Nobody loses bookability while a position sits unclassified.

Make a service actually require a resource

A resource sits idle until a service is told to need it — and that's set per service option (variant), not per service. Open Catalog → Services, edit a service, and find Resource requirements on a variant. Add the type the option needs. From then on, a booking for that option needs both a free staff member and a free resource of that type.

Two things most owners miss live here. First, you can require more than one of a type — step the quantity up or down, so a service that needs two dryers asks for "HV dryer ×2". Second, if you ask for a type you have no resources of yet, the editor warns you (a "No active …" notice next to the row) — set the requirement now, add the actual dryers later, and bookings stay blocked for that option until you do.

This is enforced everywhere a booking is made — the Schedule page, the appointment calendar, and when the AI assistant books for you. A resource counts as available during your opening hours minus whatever's already holding it; it needs no roster of its own. See Service variants for the full per-option setup.

How long a booking holds a resource

A resource is held only while the work is actually being done — not for the whole time the customer or their pet is with you. The moment that piece of work finishes, the resource is free for the next booking, even if the customer hasn't left yet.

This matters most for drop-offs. Say a dog is dropped off in the morning and collected late afternoon, but the grooming itself only takes about an hour:

The table is busy only from 11 to 12. Seglo will happily give that same table to another dog at 9, at 1, or at 3 — because the table isn't doing anything for this dog the rest of the day. The dog is still in your shop, but the table is free.

So a simple rule keeps the schedule honest:

  • Set up the things that are in use while the work happens — the bath, the dryer, the table, the person doing it. These are what one booking truly ties up.
  • Don't set up a waiting spot, crate, or pen as a resource. Seglo would treat it as free the second the work ends, so it can't hold "this crate is taken all day" for you. A place where a pet simply waits is best managed in the room, not on the schedule. (If you do add one, remember it's only blocked for the length of the service, not the whole visit — so it won't stop a busy day from filling up.)

Force a booking past a full resource — and the one limit that holds

Owners and admins can intentionally overbook a resource — a single room, a bathing bay, a piece of equipment — when the situation calls for it. If the room is already taken, the conflict dialog asks you to Override / 覆寫 and enter a short reason. The overbook is recorded in the booking's audit trail with your name and reason, and both bookings appear side by side on the schedule.

The one limit that holds — multi-slot capacity pools. A pool of four drying bays holds exactly four concurrent bookings. When all four are full, the fifth cannot be added by anyone — owner included. The fix is real-world: free a bay (reschedule what's holding it), raise the pool's capacity if your space genuinely grew, or point the service at a different type.

Single-slot resources (one room, one dryer, one staff member) can be overbooked with a reason. Pooled resources at their capacity ceiling cannot.

Set how many a pool holds — and change it later

Capacity is the number of bookings a resource can hold at the same time. Use 1 for a single room or tool, and a higher number for a shared pool — four pedicure chairs, six drying bays. To change it after the fact, click the pencil on the resource and edit Capacity. A pool of four blocks the fifth booking in that window even when more staff are free; a pool whose real-world size shrank should be lowered so the schedule stops promising spots you no longer have. Existing bookings keep the capacity they were made under — only new ones follow the change.

Override the room a booking picks

When a service option requires a resource, the Schedule booking drawer shows a room sub-row with the free-first pick the system will make automatically; tap Change to override it. The list is filtered to the exact type required and capped at the quantity needed.

A row that's taken reads Unavailable, or Fully booked for a pool that's at capacity, and can't be ticked — change the time and the list re-checks itself. When auto-assignment can't find a free room of a required type, the missing slot shows as a red pill labelled with that type, so you see exactly which resource is short before you commit. Nothing is locked in until you save.

Tip these into the right places

  • A resource lives at one location. The list and the add form follow your selected location, so if a resource seems to have vanished, switch locations.
  • Deleting hides, it doesn't erase. A removed resource drops off new bookings but keeps its record on existing ones for history — and the delete is reversible by support if you regret it.
  • You can't delete a type that's in use. If a service or resource still points at a custom type, the delete is blocked and Seglo tells you. Clear those uses first. A type's category is also fixed once created.
  • Resources never replace staff scheduling. A booking still needs a free staff member; the resource is an extra limit stacked on top, not a substitute.
  • A position isn't the same as a resource. Positions (this page's Positions tab) are job titles for people; Rooms/Equipment/Capacity Pools (this page's Resources tab) are physical things. A Groomer-linked position provisions the person as bookable staff automatically — you don't add them again as a resource.
