Booking labels
Create a colour-coded set of annotation chips your team can stick on any booking — so a groomer sees '#2 blade / nervous dog' the moment they look at the schedule.

Booking labels are short, colour-coded chips your team attaches to individual visits for at-a-glance context — "Poodle / #2 blade / nervous dog" visible on the schedule card before anyone opens the booking. They are pure annotation: applying a label never sends a notification, changes a booking status, or triggers anything.
Labels are booking-level (per visit), not client-level. Durable traits about a client live on the client record. Labels capture what is specific to this visit.

Set up your label set (owner / admin)
Open Settings → Booking labels. Add each label by typing a name and choosing a colour from the palette, then click Add. The name must be unique within your business; duplicates are rejected inline.
A few practical guidelines:
- Keep names short. Labels render as chips on schedule cards; long names get truncated at a glance.
- Use colour as a category signal. Red for caution notes ("nervous dog"), green for service variants ("#2 blade"), blue for preferences — whatever convention your team recognises at speed.
- Drag to reorder. The order here is the order the picker shows when staff apply a label. Put the ones used every day at the top.
You can define up to 40 active labels per business. If you reach the cap, archive labels you no longer use to make room.
Archive a label you no longer need
Click the archive control next to a label. Archived labels disappear from the apply picker, so staff can no longer add them to new bookings. They do not disappear from bookings they were already applied to — past context is preserved. You can un-archive a label at any time.
There is no hard-delete in the current version. Archiving is the way to retire a label.
Apply or remove labels on a booking (any staff)
Open any booking's detail drawer. Inside the Internal section (the grey team-only panel alongside staff notes and booking photos), find the Labels row. Tap Add label to open the picker, which lists your active labels. Tap a label to toggle it on the booking; tap it again (or the × on an applied chip) to remove it.
A single booking can carry up to 8 labels. The picker disables further selection once the limit is reached; remove one first if you need to add a different one.
Applying or removing a label is immediate and reversible. No confirmation is needed.
See labels on the schedule
Applied chips appear on booking cards in Schedule and Calendar — visible to everyone who can see those views, without opening the booking. Cards show up to three chips inline; if more are applied, a +k overflow indicator shows the count.
Labels are part of the internal layer and are never shown to customers — not on booking confirmation emails, not on the customer portal.
Filter the schedule by label
On the schedule toolbar, open the Labels filter and select one or more labels. The grid narrows to bookings that carry any of the selected labels. Deselect all labels to clear the filter and show every booking again.
The filter works on bookings already loaded for the current date range — it does not run a new search. For very large date ranges, load the range first, then filter.
What's not supported in this version
- Client-level labels — labels you want to remember across every visit (e.g. "allergy: chicken") belong on the client record, not here.
- Labels that trigger actions — no notification, status change, or automation fires when a label is applied. Labels are annotation only, by design.
- Per-staff label visibility — if a staff member can open a booking, they can see and apply all labels. There is no per-label permission.
- Free-form label colours — the colour picker offers a curated palette only. Free hex input is not available.
