Give your team a shared library of ready-made SMS replies they can drop into any conversation with one tap.

Typing "Running about 10 minutes behind today" for the fifth time this week gets old fast. Quick replies let you write a message once and let every staff member drop it into a customer conversation with a single tap — no retyping the same handful of phrases all day.

Build your team's quick-reply library (owner / admin)
Open Settings → Quick replies. Click Add quick reply (or Add your first quick reply if the list is empty) to open the editor.
- Message is the only required field — the text your team will send. As you type, a live counter shows the character count (up to 1000 characters) and how many SMS segments it will take, so you know before you save whether a reply will land as one text or several.
- Label is optional — a short name shown in the picker instead of the full message (handy for a long body, e.g. "Running late"). Leave it blank and the picker shows a truncated preview of the message instead.
Quick replies are shared across your whole business — every staff member sees the same list; there is no per-person or per-role set. Only the owner/admin role can add, edit, delete, or reorder them; other staff can use them but can't change the list.
Reorder the list
Drag any row by its handle to move it up or down. The order here is the order staff see in the picker on the phone app — put the ones your team uses most at the top.
Edit or delete a quick reply
Click a row to edit its message or label in place. Deleting a quick reply removes it immediately for everyone — there's no undo and no archive, so double-check before confirming.
Use a quick reply in a conversation (any staff, Seglo Phone app)
Open a customer conversation and tap the lightning-bolt icon beside the text box. A sheet slides up listing your business's quick replies — tap one and its text fills the message box, ready to send.
The message is only placed into the box, never sent automatically — you can still edit it (add the customer's name, adjust the ETA) before tapping send. Selecting a reply replaces whatever draft text was already in the box, so send or clear anything you were mid-typing first.
If the list is empty, staff without the owner/admin role see "Ask your manager to add quick replies." The owner can also add a new one straight from this sheet — tap Add quick reply at the top, fill in the message (and an optional label), and save. It joins the same shared list everyone sees; reordering and further edits still happen on the web settings page.
What's not supported
- No customer-name or booking placeholders. A quick reply sends exactly as written — there's no variable that fills in a customer's name or appointment details automatically. Type any personal details in after inserting the reply.
- No categories or folders. Quick replies are one flat, ordered list — use the label field to make similar ones easy to tell apart at a glance.
- No per-staff or private replies. Every quick reply is visible to the whole team; there's no way to create one only you can see.
- No auto-send. Tapping a quick reply always leaves it in the message box for review — it never sends by itself.
