Staff handbook & required reading

Publish your team's policies and procedures, mark sections as required reading, track who has acknowledged them, and auto-assign reading to new hires.

Updated 19 July 2026

Your handbook is where your team's policies, procedures, and required reading live. Owners and managers write and publish sections; staff read them and acknowledge the ones marked required. Seglo tracks who has read what — so you always know where coverage stands and can chase anyone who's fallen behind.

Open it from Handbook in the left navigation. Owners and managers see the editor and Team progress; staff see their reading queue and the full section list.

Owner & manager — authoring and oversight

Mark a section as required reading

Open a section in the editor. Toggle Require staff to acknowledge to on. From that moment, every active staff member sees the section in their required-reading queue (if the section is already published) or will see it once you publish it.

Toggling it off removes the section from all queues and Team progress. Historical acknowledgement rows are kept for your records — if you toggle it back on later, tracking resumes from the current version.

Publish and notify

Publishing a required section for the first time sends a push notification and in-app alert to all active staff (not including you as the sender). The notification links directly to the section.

See who has read a section

In the editor, each required and published section shows a coverage chip — for example 7 / 9 read. Click or tap it to expand the full read-by list: who acknowledged it and when, and who still owes a read.

Coverage always reflects the current version and the current active headcount. Staff who join after a section was published are added to the denominator automatically; terminated or suspended staff drop out.

Track the whole team at once

Switch to the Team progress tab in Handbook. Each staff member shows their overall completion — how many required sections they have acknowledged out of the total required. The list is sorted least-complete first so you can see who needs chasing immediately. Expand a row to see exactly which sections are outstanding for that person.

Important vs minor edits — version control

When you save an edit to a published required section, Seglo asks you to classify the change:

  • Minor edit (typo, formatting fix) — content updates in place. Existing acknowledgements remain valid. No notification goes out.
  • Important edit (policy change, new requirement) — the section's version bumps. All current acknowledgements become stale. Every active staff member sees the section back in their queue with a "Changed since you read" marker. A notification goes out so nobody misses the update.

Draft sections and non-required sections save silently — no significance choice, no notification.

New hires get their reading list automatically

When a team member accepts their invite and their account becomes active, Seglo automatically adds all currently required and published sections to their reading list. They receive a single notification welcoming them and pointing them at their list. Their progress in the Team progress tab doubles as their onboarding status.

Daily digest

If any active staff member still has outstanding required reading, owners and managers receive a daily digest showing who owes what. The digest is suppressed on days when everyone is caught up — so when it arrives, it's always actionable.

Staff — reading and acknowledging

Your required-reading queue

At the top of the Handbook page you see a Required reading queue listing every section you still need to acknowledge. The header shows your progress — for example 2 of 5 read. Sections you have already acknowledged are removed from the queue; sections that have been updated since your last read appear with a "Changed since you read" marker.

When the queue is empty you see an All caught up state. Done.

How to acknowledge a section

Click a section in the queue to open it and read the full content. A button "I've read & understood" appears at the bottom of the section. Tap it once — the acknowledgement is recorded and the section moves out of your queue. You cannot acknowledge a section without opening it first.

Badge in the navigation

The Handbook entry in the left nav shows a red badge with the count of sections you still owe. It disappears when your queue is empty.

Mobile

The same queue, badge, and one-tap acknowledge work on the mobile app at the Handbook screen. You can read and acknowledge sections from your phone or tablet without going to the desktop.

What Seglo does not support

  • Quizzes or comprehension checks — acknowledgement is a one-tap "I've read this", not a quiz.
  • Legal e-signature — this is operational acknowledgement, not a legally binding signature.
  • Line-by-line content diff — staff are notified that content changed but do not see a tracked diff.
  • Scoping by role or location — all required reading goes to all active staff. Role or location filters are not supported.
