Team load report
See how booked each staff member is per day, where demand is going unmet, and use the demand panel to invite off-roster staff to cover a new slot.

The Capacity & demand tab, inside Reports in the left nav, shows two things side by side: how booked each staff member is on each day, and where real customer demand is going unmet. Use it to decide when and who to ask for extra cover.

This page is visible to business owners and admins only. Staff cannot see it, and their own daily percentage is never shown to them.
Team load grid
The grid puts your staff down the left and dates across the top. Each cell shows that person's load for the day — booked minutes divided by scheduled minutes — as a percentage.
The colours are load bands, not a ranking:

Staff appear in a stable roster order. There is no sort-by-load affordance and no "top/bottom performer" view — the purpose is scheduling, not evaluation.
A leave day is counted as "off" (blank), not as 0% utilized.
Use the date-range picker at the top of the grid to view any week or span. The default is the current business week.
Demand panel
The demand panel (right side of the page) shows two objective signals about unmet customer demand:
Waitlist depth — customers currently waiting for a service variant. The number is how many active waitlist entries exist for that variant across all dates. A high count means demand is real and persistent.
Searches with no opening — slot searches that returned zero results for a date in the next two weeks. Each row shows the service variant, the date customers searched for, and how many times that date came up empty. These are customers who tried and walked away.
Neither signal is shown to staff or customers. They are owner-only.
Open a slot
When you see demand worth acting on, click Open a slot next to the relevant row. This takes you to the team Schedule page, where a dialog opens for you to:
- Pick a date and time window for the extra shift.
- Select one or more team members to ask.
Clicking Send invite sends each selected staff member a notification with an accept link. They don't need to log in — the link opens a page where they can accept or decline.
When a staff member accepts:
- A one-off shift is created for them automatically, using the same creation path as a manually added shift.
- The availability engine re-generates their slots within seconds.
- New booking slots appear on the booking page for customers.
If a staff member declines or the invite expires (48 hours), no shift is created. You can open a slot again for the same demand signal to ask different staff.
You can invite multiple staff members for the same demand signal. The first acceptance creates the shift; remaining invites stay open so others can also accept if you need more than one person.
What this page does not do
- It does not rank or score staff. Utilization is purely for scheduling decisions.
- It does not connect to payroll, commission, or performance reviews. No payroll or commission field appears on this page.
- It does not automatically create shifts. Every shift requires your approval — you choose who to ask and when.
- It does not show misses for dates more than two weeks out in the misses panel (the panel shows near-term unmet searches only).
Troubleshooting
The demand panel is empty. No customers have joined the waitlist and no slot searches have returned zero results recently. This is normal for a business that has plenty of availability. The panel fills in automatically as real demand accumulates — you don't need to configure anything.
The grid shows blank cells for days I expected to see load. A blank cell means no shift was rostered on that day — the person was off. If you expected a shift to be there, check Schedule to confirm their roster for that day.
I sent a shift invite but no new slots appeared. The staff member has not accepted yet. Invites are valid for 48 hours. Ask them to check their notification (push notification or SMS with an accept link). Once they accept, slots update within seconds.
